Step 1: Use Filters and Search to Find Documents Quickly

The Products page includes powerful filtering and search to locate documents fast:

  • All products — view entire catalog
  • Has documents — show only products with documents (identify complete products)
  • No documents — find products missing documentation (identify gaps)
  • Search by product name or SKU — quickly locate specific products
Tip: Use "No documents" filter regularly to identify which products need attention. Combine filters with search (e.g., "No documents" + search "Gift") to find all undocumented gift products.

Step 2: Use Bulk Import for Multiple Products

For 50+ products needing documents simultaneously, use Bulk Import from the Products page:

  1. Download the CSV template
  2. Add file references (Shopify File GIDs, CDN URLs, or upload new files)
  3. Submit the bulk import job
  4. Compass Docs processes documents in the background

This saves hours compared to uploading one product at a time.

Step 3: Track Document Coverage with Analytics

Use the Coverage Dashboard on your Products page to identify gaps:

  • Total products — how many products you have
  • Products with documents — percentage of documented products
  • Total documents — total count across all categories
  • Coverage by product — visual badge showing each product's status (gold = no docs, lavender = partial, green = complete)
  • Products needing attention — products with zero documents in any category
Tip: Aim for 100% coverage. Products with complete documentation get higher conversion rates. Focus bulk import on the highest-selling products first.

Step 4: Export and Backup Your Document Metadata

Use the Export feature to download all document metadata as CSV for:

  • Document audits — review titles and categories
  • Backup copies — download before major updates
  • Team reports — share coverage metrics with stakeholders

Step 5: Establish Naming Conventions and Organization

For large libraries, consistent naming prevents confusion and improves searchability:

Recommended naming pattern: [Product Name] — [Document Type] — [Version]

Category organization suggestions:

  • Manuals & Guides — user manuals, setup guides, quick starts
  • Technical & Specs — specification sheets, technical diagrams
  • Compliance & Safety — safety data sheets, certifications
  • Warranty & Support — warranty cards, support info
  • Product Updates — release notes, firmware updates
  • Training & Videos — video guides, training materials
